I love these, but got a few lessons when setting a couple up at our Ponca City Range.
Don't ask what date is best for everyone.
Set a date and go for it.
There is no date that is acceptable for anyone no matter their location in the state.
Some will travel. I know I did, and we had a great crowd come to Ponca for some travelers.

Sage advice from a wise man. Pick the date, time, and place, post it up and those that are willing and able will be there. They are a lot of fun and it has been a long while since the last one.
